"Organize Your Records: Family and Group Family Day Care"
Course Description:
Do you have piles of paper in your work area that are not organized? Does it take you more than two minutes to locate an important file? Does your anxiety level rise during inspection visits by OCFS or the food program, especially the unannounced ones, because you are overwhelmed by paperwork? Choosing to develop a system and deciding to use it regularly are the first two steps to organization. This two hour course will help you take those steps and includes
- 1. Forms to be kept in a file for Renewal. (updated 9/2014)
- 2. Forms to be updated regularly and/or displayed. (updated 2/2016)
- 3. Forms to be kept and updated regularly for each child. (updated 9/2014)
- 4. What to discard and when.
- 5. Record keeping hints and suggestions from other child care providers.
The goal of this course is to help day care businesses become more organized. To do this, participants will
- 1. Review forms required by NYSOCFS regulations to be kept on file, to be updated regularly, to be displayed, and to be included with each child’s records.
- 2. Review the files of all children in your care.
- 3. Choose filing categories for business papers.
- 4. Develop a plan for dealing with important papers.
This course provides 2 hours of training in the New York State Office of Children and Family Services (OCFS) regulation areas of (5) Business Record Maintenance & Management and (7) Statutes & Regulations Pertaining to Child Day Care. After reading the material, you must complete and submit three written activities and answer 16 questions. You will be given 3 points for completing each written activity and one point for each correctly answered question, for a total of 25 points. A score of 80% must be achieved to pass this course (20 out of 25 points). Two “games” are included that must be submitted. Submitting them as part of the assessment will give you 2 extra credit points; not doing so means your course will be returned to you ungraded.

If your score is 80% or higher, your answer page, with comments, will be mailed or emailed to you within one week of its receipt by Training Unlimited. Your certificate will be mailed the same day your course is corrected.
If you receive a grade less than 80%, you will receive a phone call, a letter, or an email and have the opportunity to correct your work. A certificate will then be mailed to you indicating you have passed the course. Your course must be corrected and your score must reach 80% to receive a certificate.

Call for more information if you need this service or if your course will need to be corrected immediately. There is an additional $20 charge for courses that must be graded within 24 hours of submission. This charge includes emailing certificates, immediately upon grading, to a licensor or registrar.
